Vutlhari Digital Solutions (Pty) Ltd, formerly Vuxaka Digital Solutions, is the responsible party. We decide what personal information is collected through this website and why.

Our Information Officer, and the contact details for all of the below, are listed at the end of this notice.

We only collect what we need to answer you and to run the site.

• ›When you use the contact form or email us: your name, email address, phone number, town or suburb, and whatever you choose to write in the brief. We use this to reply to you, to scope work, and to keep a record of what was agreed.
• ›When you visit: standard technical data such as IP address, device and browser type, pages viewed and referring page. This is used to keep the site working and to understand which pages are useful.
• ›We do not collect special personal information, and we do not knowingly collect information from children.

We process your information because you have given it to us in order to be contacted, because it is necessary to conclude or perform a contract with you, and because we have a legitimate interest in running and improving our own website. Where we rely on consent, you may withdraw it at any time.

This site uses Google Analytics to count visits and see which pages are read. It sets cookies in your browser and reports aggregated statistics to us. We do not use it to identify you personally, and we do not sell or share your information for advertising.

You can block cookies in your browser settings. The site works without them.

We use service providers who process information on our instructions and nothing more. These are our website hosting and infrastructure provider, our email provider, and our analytics provider. They act as operators under POPIA and are bound to keep the information confidential and secure.

We do not sell your personal information. We share it with anyone else only where the law requires it, for example against a valid subpoena, warrant or court order.

Our hosting, email and analytics providers operate data centres outside South Africa. Where your information is transferred abroad, it is done under section 72 of POPIA, which requires the receiving party to be bound by rules substantially similar to POPIA, or for the transfer to be necessary to perform a contract with you.

Enquiries that do not become work are kept for up to 24 months, so that we can pick up a conversation you return to. Records relating to actual client work are kept for as long as the law requires us to keep business records, currently five years from the end of the relevant tax year. Analytics data is kept in aggregate.

The site is served over HTTPS. Access to enquiry records is limited to the people who need it. We review who has access, and we use reputable providers with their own security controls. No system is perfect, and we will tell you and the Information Regulator if there is a compromise that affects you, as section 22 of POPIA requires.

Under POPIA you may, at any time and free of charge:

• ›Ask what personal information we hold about you, and ask for a copy.
• ›Ask us to correct anything that is wrong, or complete anything that is missing.
• ›Ask us to delete information we no longer have a reason to keep.
• ›Object to us processing your information, on reasonable grounds.
• ›Withdraw consent where consent is what we relied on.
• ›Complain to us, and to the Information Regulator, if you are not satisfied.
